This includes phone calls, text messages, and voicemails exchanged with individuals, community partners, external parties, and supervisors.

To ensure clear and consistent communication, all Family Promise of Puget Sound employees and volunteers are expected to utilize the organization-issued phone number and extension when conducting any business with individuals, the community, or other external parties. This includes making and receiving phone calls, sending and receiving text messages, and managing voicemails.

4. Rationale for Dedicated Business Lines

Adhering to this policy is essential for several key reasons:

* Professionalism: Using a dedicated business line presents a professional image to our individuals and community members. It allows for easy identification of FPOPS representatives, fostering trust and credibility.

* Continuity of Service: Individual inquiries and messages are tied to the organization’s communication system, not to individual employees or volunteers. This ensures continuity of service, meaning individuals can receive consistent support regardless of who is available or if an individual is absent.

* Record Keeping and Accountability: Business communications conducted on organization lines can be easily documented and, where necessary, recorded or reviewed for record-keeping purposes, quality assurance, and accountability, in compliance with FPOPS policies and legal requirements.

* Privacy and Boundaries: This practice helps maintain professional boundaries and protects the personal privacy of our employees and volunteers by clearly separating personal and professional communications.

5. Exceptions

In limited and urgent situations, the use of a personal phone number may be permissible:

* Urgent Supervisor Matters: When needing to reach a supervisor for an urgent matter that can’t wait for a call on the business line or through other official channels (e.g., immediate safety concern, critical operational issue).

* Brief Communication: Such instances should be limited to brief communications essential for the urgent matter. Any follow-up, detailed discussion, or official documentation related to the urgent matter must be conducted using official organization-issued communication channels as soon as feasible.

6. Consequences of Non-Adherence

Family Promise of Puget Sound encourages all employees and volunteers to adhere strictly to this policy to maintain professional communication practices. Inappropriate and repeated instances of using personal phone numbers for FPOPS business, or other violations of this policy, may lead to disciplinary action, up to and including termination of employment or volunteer service.

8. Responsibilities

* All Employees and Volunteers: Responsible for understanding and strictly adhering to this policy in all FPOPS-related communications.

* Supervisors/Program Directors/Volunteer Coordinators: Responsible for ensuring their teams are aware of this policy, providing necessary organization-issued communication tools, and addressing any non-compliance.

* CEO: Responsible for overall oversight and enforcement of this policy.

9. Policy Review and Revision

This policy will be reviewed annually by the CEO and Program Directors, or more frequently as needed, to ensure its continued effectiveness, relevance, and alignment with best practices and legal requirements. Any revisions will be communicated to all relevant personnel.
