Purpose
The Medical Consultant Program provides FPOPS staff with access to licensed medical volunteers to review health concerns of children in our families being served. This policy ensures that referrals are handled through a standardized documentation process to provide the physician with necessary data before consultation.
Nature of Service Virtual Consultation: All services are conducted via video chat or telephone; there are no in-person examinations. Direct-to-Parent Communication: Once a referral is reviewed, the medical consultant will speak directly to the parent or guardian of the child. Not Emergency Care: This is for acute, non-life-threatening symptoms. In an emergency, dial 911 immediately. The Referral Process (FPOPS Flag System – https://fpops.org/flags/) Referrals must follow the standard internal workflow:Documentation: Staff must enter detailed medical documentation into the client’s flag, including current symptoms, temperature (if a fever is present), and duration of the illness.
Flagging the Account: After documentation is complete, staff initiate the referral by using the Family Promise of Puget Sound Flag System, flagging the child account with the documentation required.• Demographics: Name, DOB, Parent/Guardian contact info
• Physical Data: Current weight, height
• Medical History: Past surgeries, chronic conditions, and birth history
• Current medications and any drug allergies/other allergies
• Documentation: Recent office notes and relevant diagnostic results
Medical Team Review: The medical team monitors flagged accounts. They will review the provided documentation to determine if the case is appropriate for consultation. Information Requests: If the medical team requires additional details before the consultation, they will contact the referring staff member. Direct Contact: Once approved, the medical consultant will reach out directly to the parent or guardian as appropriate to conduct the consultation. Upon completion of the consultation, the medical team will update the flag as appropriate. After the flag has been updated, Staff will record to case notes, and clear the flag. Referral Criteria (Appropriate Cases)Staff should refer children exhibiting acute symptoms, such as:
• Febrile Illness: Children with a documented fever.
• Symptomatic Distress: Coughing, persistent digestive issues, or unexplained rashes.
• Urgency Assessment: When a parent needs guidance on whether a child needs an Urgent Care or ER visit.
Exclusion Criteria
The program is not for:
• Well-Baby/Wellness Exams: Routine developmental screenings or check-ups.
• Administrative Exams: Physicals for sports, school, or camp.
• Immunizations: Routine shots or vaccination records.
